WHO DOES WHAT? A GUIDE TO YOUR WEDDING PLANNING TEAM

You may have read about wedding planners, wedding coordinators, and venue coordinators and found yourself a little confused about what each role actually does. Don’t worry, I’m here to break it down and help you understand who does what, and how we fit into your big day.

Wedding planners offer varying levels of support, depending on the package you choose. Your planner may assist with budget, sourcing and booking suppliers, designing the look and feel of your day, and managing all communications with your suppliers. Essentially, they become your planning partner and guide, ensuring nothing is missed.

Some planners offer partial planning or ‘month of’ packages, where you hand over the details and suppliers about 4-6 months before your wedding. They take over the final planning stages, ensuring the day runs smoothly, contracts are confirmed, timelines are coordinated, and any last-minute details are handled giving you peace of mind as your wedding approaches.

Wedding coordinators are usually hired to ensure your wedding day runs to plan. Their main job is to liaise with suppliers, manage the schedule and keep everything on track. They are your safety net on the day, stepping in if something doesn’t go according to plan and quickly coming up with solutions or plan B’s. 

Coordinators do not usually get involved in the months leading up to the wedding (unless you’ve booked a combined planner and coordinator package, which are super popular), but they are essential for keeping your day stress free and ensuring you can enjoy every moment without worrying about logistics.

And then there’s us, Venue coordinators. We are employed by the venue itself, which means our focus is entirely on making your day at our venue seamless and enjoyable. While we aren’t involved with parts of your wedding that happen elsewhere, we go above and beyond to make sure your day at our venue is exactly what you envisioned.

From the moment you book, we’re here as a sounding board and an agony aunt throughout the planning process. If you have questions, worries, or just need reassurance that what you’re thinking makes sense, we’re always happy to talk things through. We’ll also pass on recommended suppliers we trust and have worked with before, helping you build a team that fits your vision.

We don’t just make sure the tables are set. We help build your timeline, keep supplier contact details at the ready, put out fires as they arise, and are essentially your right-hand day-of bestie, handling all of the little things so you can focus on enjoying your day. 

Think of us as your personal sidekick, ready to tackle anything from a missing buttonhole to a timeline hiccup, all with calm, behind the scenes efficiency.

While we’re here to be your personal sidekick, we absolutely love collaborating with some truly amazing wedding planners and coordinators. When that happens, it’s like having double the love and attention on your wedding day! You get all the benefits of your planner or coordinator alongside our venue expertise, ensuring every detail runs smoothly, every step of the way.
